Name:
The Club for Undergraduate Biomedical Engineering (CUBE)
University of Toronto St. George Chapter
Purpose:
CUBE’s mandate is to disseminate knowledge pertaining to the biomedical engineering field at the undergraduate level. CUBE’s goal is to emphasize the multidisciplinary aspects that are integrated into biomedical applications.
MEANS:
CUBE’s purpose is achieved by serving as a point of contact between students, researchers, and the industry. Monthly events will be held to provide members with the opportunity to explore and network with academic and industry professionals.
Membership:
Free membership is available to all members of the University of Toronto community, including students, staff, faculty, and alumni. CUBE is also open to non-University of Toronto members, however they are excluded from the scope of rights to nominate, to be elected or re-elected on the executive team. All members are welcome to participate in CUBE events and activities.
Finances:
The Institute for Biomaterials and Biomedical Engineering (IBBME) reimburses CUBE for its expenses. In addition, the Executive Committee is permitted to actively seek out alternative sources of funding so that CUBE can aim to increase its operating budget. Sources can be corporate, academic, government, or non-governmental.
CUBE is also permitted to receive funding in various forms such as in-kind services (alumni donations), monetary, resources (printed, web, or educational material), equipment (software, computers, office furniture, food, etc.). For special events, extra funding will be solicited from various sources.
Meetings:
During the Summer Academic Term, Executive Committee meetings will be held as often as needed for the development and planning of events. Meetings can be conducted in person or through conference calls.
General meetings (events) as advertised through various mediums will be held monthly and will be open to all CUBE members. Executive Committee meetings will be held bi-weekly during the Fall and Winter terms to ensure proper logistics and smooth execution of the general meetings. These meetings shall be scheduled in a workshop-style to facilitate group work and collaboration.
Elections:
The current Co-Presidents are to call an election in the Winter Academic Term to determine the succeeding Co-Presidents. Each Executive’s term runs from May 1st to April 30th of the following year.
To ensure that candidates for the position of CUBE Co-President are committed to the club and are deemed appropriate candidates, the person that intends to run for Co-President is recommended to meet any one (1) of the following requirements:
- The individual must have previously served at least one (1) year on the CUBE Executive Committee and have played an active role in organizing events that serve members throughout the course of their previous appointment.
OR
- The individual has been involved in the organization in at least three events/initiatives that serve members throughout the course of the current Academic Year that the election is held in.
Candidates that meet this criterion can nominate themselves or can be nominated for the position by any member of the club or the Executive Committee. The nomination period should last a minimum of 1 week. The candidates running for the Co-President positions must apply by sending the club e-mail a brief statement of interest, proof of eligibility and any credentials that they wish to highlight.
In the event that sufficient candidates are not nominated by the end of the nomination period, the following actions are to be taken:
- Extend the nomination period by 1 week
- Open nomination to any general member of the club
The new Co-Presidents will be responsible for hiring the remaining members of the new Executive Committee. The hiring process will involve a call for applications, a review of applications and an interview process.
The call for applications will be in the form of an online application form. Applicants will be asked to provide information as to why they would like to be part of CUBE, prior relevant experiences related to their intended positions and what they hope to achieve by being part of the Executive Committee.
Amendments:
Amendments to this Constitution proposed during the Fall or Winter term may be made at any General Meeting called for this purpose by the Executive Committee, with the approval of two-thirds of the members present. Notice of proposed amendments shall be given to the membership not less than two weeks in advance of the meeting.
In the circumstance that the membership is not able to attend, the President may call for an Executive Meeting in which two-thirds of the Executive Committee must approve in order to pass the amendment.
The President is required to notify the Ulife (modern branch of the Office of Student Affairs) and the University of Toronto Students’ Union (UTSU) to effect the change.
